How much does small business automation cost? Setup, management and usage
The real cost of managed automation: discovery, implementation, monthly management, software usage and future changes.
Managed automation costs implementation + monthly management + licences and usage + work outside scope. At Não Somos AI, Micro costs €150/month + VAT with a standard implementation fee of €300 + VAT. After diagnosis, implementations with more channels and integrations can reach €3,500 + VAT. Separating these items is not a way to hide extras; it stops a low-volume client subsidising somebody else’s usage.
1. Implementation: turning work into rules
Setup pays for discovery, workflow design, knowledge-base preparation, permissions, integrations, messages, testing, documentation and training. Copying FAQs into a prompt is not implementation. The hard work is deciding what the system may do, which data it needs, how it confirms an action and where it routes what it cannot answer.
Why implementation changes with scope
- €300 + VAT: Micro on one channel, up to two workflows and one simple calendar or spreadsheet connection.
- €750–€1,500: WhatsApp, webchat or voice, more workflows, channel setup and training.
- €2,500–€3,500: CRM or webhook, multiple languages, tailored reporting and failure testing.
- from €3,500 + VAT: multiple locations, migration, specific integrations and contingency, always quoted to scope.
2. Monthly fee: operating, not merely hosting
A managed monthly fee pays for monitoring, failure review, small in-scope corrections, limited knowledge updates and an operational summary. It also covers noticing when a supplier changes a rule or when a workflow starts routing cases to the wrong person. A service that simply keeps an account open is not managed operations.
3. Licences and usage: the variable layer
Telephony measures minutes; WhatsApp may charge messages or conversations by category and country; models charge usage; calendars, CRM and connectors may have their own subscriptions. These costs move and should be shown separately or under a clear allowance. “Unlimited conversations” without a fair-use policy moves an invisible risk onto the client.
4. Changes outside the agreed scope
A new opening time or approved answer may fit maintenance. Connecting another CRM, adding a channel or location, redesigning the process or producing new content is implementation work. The boundary should be written: how many small changes are included, who approves them and how everything else is quoted.
Client account or agency account?
Core assets should belong to the client: Meta Business, phone number, email, domain, calendar and CRM. Não Somos AI receives delegated access. Shared infrastructure is only acceptable when data, credentials, limits, cost allocation and exports remain isolated for every client. Never use one indistinguishable master account across dozens of businesses.
The development tool is not the production employee
Development tools help build, review and maintain software. They are not the account that should answer every customer. Production needs dedicated APIs or platforms, per-client credentials, logs, spending limits, alerts and a plan for supplier failure. Treating one development account as the runtime mixes data and makes cost and responsibility impossible to audit.
Software alone versus a managed service
Self-service software sells access to an interface. A managed service maps the process, configures channels, writes and tests messages, trains the team, monitors failures and follows a review schedule. If you know how to assemble everything, standalone software is cheaper. For a small business that wants the outcome without learning five tools, the value is implementation and ongoing operation.
How to compare proposals
- Who owns the number, accounts and data?
- Which channels and volumes are included?
- Does the provider use the official channel route?
- What do extra minutes or messages cost?
- Who corrects a wrong answer and how quickly?
- Is there a DPA, retention period, export and access-removal process?
- What happens when the API or calendar fails?
- Which monthly changes are included?
Cheap infrastructure can be expensive
An unofficial WhatsApp connection, shared credentials or missing logs may lower the first invoice while increasing the risk of account blocks, data exposure and lost enquiries. The right budget does not buy more “AI”; it buys fewer ownerless gaps.
The short answer
Micro costs €150/month + VAT with €300 + VAT standard implementation. Presence costs €490/month + VAT, Instagram Intensive €690/month + VAT and Multichannel €890/month + VAT. Licences and usage are separate; implementations with more channels, locations or integrations are fixed after diagnosis.
